The Chief Operating Officer will lead all operational functions across the loan lifecycle, excluding credit, capital markets, and servicing. This executive will be responsible for designing and executing scalable workflows across processing, closing, post-closing, collateral management, vendor integration, and operational compliance. The ideal candidate possesses in-depth knowledge of private lending and excels in an entrepreneurial environment where they can build systems, develop teams, and shape operational strategy from the ground up.
Key Responsibilities
- Oversee processing and pre-closing functions, including document collection, verifications, disclosures, and compliance timelines
- Ensure accuracy and completeness of loan file assembly and readiness for closing
- Lead closing process, including coordination with escrow/title partners and funding execution
- Oversee closing quality control and ensure compliance with internal policies
- Manage retrieval of trailing documents, clearing of post-close conditions, and collateral delivery
- Ensure MERS registration, title, and insurance documentation is complete and compliant
- Oversee third-party vendors (title, escrow, appraisal, insurance) and define service expectations
- Drive performance management and workflow integration with operational systems
- Manage LOS and operational tech stack; lead implementation of new tools
- Work cross-functionally to streamline workflows and automate key processes
- Maintain compliance with internal lending policies and state/federal regulations
- Support audit readiness, document integrity, and operational risk management
- Build and manage a growing team across processing, closing, and funding
- Develop SOPs, training programs, and performance metrics to drive accountability
Qualifications
- 8+ years in mortgage or private lending operations
- Strong familiarity with business-purpose loans (construction, bridge, DSCR)
- Hands-on experience managing processing, closing, and post-closing workflows
- Deep understanding of title, escrow, collateral documentation, and funding procedures
- Proven leadership experience with small, high-performing teams
- Systems experience across LOS, doc prep, eVault, and collateral tracking platforms
- Excellent communication, critical thinking, and project management skills
